This policy explains what personal data Gales Property Management Ltd (“Gales”, “we”, “us”) collects from you, why we collect it, and what your rights are under UK GDPR. It's written in plain English deliberately — if anything's unclear, email info@galesproperties.com and we'll answer.

Who we are

Gales Property Management Ltd — a company registered in England & Wales, company number 17361795, registered office 11 The Yews, Saltney Ferry, Chester, CH4 0BX. We are the data controller for any personal data described in this policy.

What data we collect

If you fill in our income-projection form, we collect only the details you give us:

Your name
Your email address
Your phone number (optional)
The property's postcode
Number of bedrooms
Current monthly rent (optional)
Any free-text notes you choose to include
Whether you consented to further marketing

We also collect basic technical information every website receives when you visit — your IP address (in aggregate/anonymised form only), the time of your visit and which pages you saw. We use this to keep the site running and to spot faults; we don't tie it to you as an individual.

Why we collect it, and our lawful basis

To prepare and send your income projection. Lawful basis: legitimate interest (you asked us for it) or performance of a contract (if you become a client). We only ever use the details you gave us for the purpose you gave them.
To send occasional SA-management insights or updates — only if you tick the consent box on the form. Lawful basis: consent. You can withdraw at any time by replying to any email with “unsubscribe”, or by emailing us.
To meet our legal obligations — tax, accounting, anti-money-laundering checks if you become a client. Lawful basis: legal obligation.

Who we share it with

We do not sell your data. We do not pass it to third-party marketers. It sits with us and with a small set of services we use to run the business, all of which are bound to protect it:

Our website host and analytics infrastructure (for site delivery only)
Our email provider (to reply to you)
Our accountant and, if you become a client, our booking platforms and payment processors — only for the operational purpose they serve

How long we keep it

Enquiries that don't become clients: up to 24 months, then deleted.
Client records: for the duration of our engagement plus 6 years after (to meet UK statutory retention requirements for financial records).
Marketing consent records: until you withdraw consent, then deleted.

Cookies

This site currently uses no third-party marketing or analytics cookies and shows no cookie banner because none is required. If we add analytics later, we'll add a compliant consent banner and update this policy first.

Your rights

Under UK GDPR you have the right to:

Ask what data we hold about you (a subject access request)
Ask us to correct anything that's wrong
Ask us to delete your data (subject to any legal retention we must meet)
Ask us to stop or restrict processing
Withdraw consent for marketing at any time
Ask for your data in a portable format
Complain to the ICO if you think we've mishandled your data (ico.org.uk)

To exercise any of these, email info@galesproperties.com. We aim to respond within 5 working days and always within the 30 days UK GDPR allows.

ICO registration: Gales Property Management Ltd's ICO registration reference will be added here once complete. In the meantime, the rights above apply and can be exercised through the contact address above.

Changes to this policy

If we materially change this policy we'll update the “Last updated” date at the top. For substantial changes affecting existing clients or subscribers, we'll email you.
